EventsRUs Privacy Policy

EventsRUs ("EventsRUs", "we", "us") operates a marketplace that connects event Planners and Suppliers in the Philippines. This Privacy Policy explains what personal data we collect, why we collect it, who we share it with, and the choices and rights you have. It applies to everyone who visits our website or uses the EventsRUs platform (the "Platform"). By using the Platform, you agree to the collection and use of information as described here.

We process personal data in line with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules.

1. Information we collect

Account information. When you sign in, we use Google Sign-In and receive your name, email address, and Google profile ID from Google. We don't receive or store your Google password.

Google Calendar (optional, Suppliers only). A Supplier may choose to connect their Google Calendar so confirmed bookings are automatically added to it. If you connect it, we receive and securely store an access token that lets us create, update, and remove calendar events on your behalf - see Section 3 for what this is used for and how to disconnect it.

Profile and business information. Planners may provide their name and event details (type, date, location, description, guest notes). Suppliers provide business information such as business name, owner name, business type, contact details, address, service areas, packages and pricing, storefront description, and payment method instructions they choose to post for Planners.

Verification documents. Suppliers seeking a Verified badge may upload a government ID, a selfie, and business-related legal documents. These are used only to review and confirm a Supplier's identity and are kept in a private, access-controlled file store - they are never shown publicly.

Content you submit. Quotation PDFs and messages, event and package photos, chat messages between a Planner and a Supplier, payment-proof screenshots, invoices, and reviews.

Usage and device data. We automatically collect basic technical information such as IP address, browser type, and pages visited, mainly for security, troubleshooting, and keeping the Platform working reliably.

Cookies and session data. We use a session cookie to keep you signed in and to remember basic preferences. We don't use third-party advertising cookies.

2. How we use your information

We use personal data to: create and secure your account; operate core features (supplier discovery and matching, quotations and their version history, bookings, payment confirmation, messaging, reviews, notifications); verify supplier identity and business documents; communicate with you about your account or activity (such as a new quotation, message, or booking update); improve and troubleshoot the Platform; and detect, prevent, and respond to fraud, abuse, or violations of our Terms & Agreement.

3. Google Calendar sync (Suppliers only, optional)

A Supplier may choose to connect their Google Calendar from Account Settings. Doing so is entirely optional and requires a separate consent step through Google, distinct from Google Sign-In. If you connect it, we use the access this grants only to create a calendar event when one of your bookings is confirmed, and to update that event if the booking is later cancelled - we don't read, modify, or remove any other event already on your calendar, and no other Planner or Supplier can see your calendar. The access token is stored encrypted and used only for this purpose. You can disconnect Google Calendar sync at any time from Account Settings; disconnecting stops any further updates but does not remove events already created, which you can delete yourself in Google Calendar. Our use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4. The AI Events Coordinator

Planners can ask our AI Events Coordinator for ideas and advice about their own event. Questions you ask, together with basic facts about that event, are sent to our AI service provider (Anthropic) to generate a response. This feature is scoped to general event ideas and advice - it does not have access to, and does not receive, another user's private quotation, payment, or personal information.

5. How we share information

With the other party to a transaction. A Supplier's storefront, packages, and reviews are public. When a Planner contacts a Supplier, requests a quotation, or books a service, relevant details (name, event information, messages, quotation and payment-confirmation activity) are shared with that specific Supplier, and vice versa. This is the core, expected function of a marketplace connecting the two of you.

Service providers. We share data with providers who help us run the Platform, only to the extent needed for that purpose: Google (sign-in, reCAPTCHA bot protection, and optional Calendar sync for Suppliers), Anthropic (the AI Events Coordinator feature described above), PayPal (Supplier subscription billing), Cloudflare (file storage for uploaded documents, images, and PDFs), and Railway (application hosting and database infrastructure). These providers are bound to use your data only to provide their service to us.

Legal reasons. We may disclose information if required by law, legal process, or a good-faith belief it's necessary to protect the rights, property, or safety of EventsRUs, our users, or the public.

We do not sell personal data.

6. Data retention

We keep personal data for as long as your account is active and as needed to provide the Platform - for example, quotation and booking history is kept as an audit trail even after a transaction is complete, similar to a receipt. If you request account deletion, we delete or anonymize personal data within a reasonable period, except where we need to retain certain records to comply with legal obligations, resolve disputes, or enforce our agreements.

7. Your rights

Under the Data Privacy Act, you have the right to be informed of how your data is processed; to access a copy of your personal data; to correct inaccurate data; to object to certain processing; to request erasure or blocking of your data where appropriate; to data portability; and to file a complaint with the National Privacy Commission. To exercise any of these rights, contact us using the details in Section 11 - we'll respond within a reasonable time and may need to verify your identity first.

8. Children's privacy

The Platform is not directed at, and is not intended for use by, anyone under 18. We don't knowingly collect personal data from children. If you believe a child has provided us personal data, contact us and we'll remove it.

9. Security

We use reasonable technical and organizational measures to protect your data, including access-controlled private storage for sensitive documents (ID cards, selfies, payment proofs) and encrypted connections between your browser and our servers. No method of transmission or storage is 100% secure, and we can't guarantee absolute security.

10. International data transfers

Some of the service providers listed in Section 5 process data outside the Philippines. Where that happens, we rely on those providers' own safeguards and contractual commitments to protect your data to a standard consistent with the Data Privacy Act.

We may update this Privacy Policy from time to time; the "Last updated" date above will reflect the most recent revision. If we make material changes, we'll take reasonable steps to let you know, such as a notice on the Platform.
